This Privacy Policy explains how BabbleFlow (“we”, “us”, or “our”) collects, uses, stores, and protects information when you use our website, mobile applications, BabbleFlow Link for Windows, and related cloud transcription services. By using BabbleFlow, you agree to the practices described here.
1. Who we are
BabbleFlow provides speech capture, cloud transcription, optional translation and templating, and tools to send finished text to a linked Windows computer. This policy applies to visitors of our marketing website, registered users of the mobile app, and users of BabbleFlow Link.
2. Scope of this policy
This policy covers:
- The BabbleFlow website (including download and legal pages)
- The BabbleFlow mobile application (currently Android; iOS planned)
- BabbleFlow Link for Windows (desktop paste companion)
- Cloud APIs and processing used to transcribe and store your recordings
3. Information we collect
Depending on how you use BabbleFlow, we may process the following categories of information:
- Account information: email address, authentication identifiers (including sign-in with Google where enabled), and subscription or entitlement status
- Audio and transcripts: recordings you submit, generated transcript text, template outputs, language settings, and related job metadata (duration, status, errors)
- Device and connection data: app version, device type, and when you link a computer, connection state between your phone and BabbleFlow Link (including Bluetooth-related permissions you grant on device)
- Usage and settings: input/output languages, template choices, retention preferences, and in-app configuration
- Support and feedback: messages you send through in-app feedback or support channels
- Technical logs: server, security, and diagnostic logs (IP address, timestamps, request identifiers) used to operate and protect the service
4. How we use your information
We use personal information to provide and improve BabbleFlow, including:
- Transcribing, summarizing, translating, and formatting your speech according to your settings
- Storing recordings and transcripts according to your plan and retention choices
- Delivering transcript text to BabbleFlow Link when you choose to paste to your computer
- Authenticating you, enforcing entitlements, processing subscriptions where applicable, and preventing abuse
- Responding to feedback and support requests
- Maintaining security, debugging failures, and complying with legal obligations
4a. No sale of personal information
We do not sell your personal information. We may use aggregated or de-identified data to understand reliability and improve product performance.
5. Legal bases (where applicable)
If you are in a region that requires a legal basis for processing (such as the UK or EEA), we rely on one or more of the following, depending on context:
- Performance of a contract: to provide transcription, storage, and linking features you request
- Legitimate interests: to secure our services, prevent fraud, and improve quality, balanced against your rights
- Consent: where required for optional features or marketing communications you opt into
- Legal obligation: where we must retain or disclose information under applicable law
6. Sharing and service providers
We share information only as needed to run BabbleFlow, including with:
- Cloud infrastructure and storage providers that host audio, transcripts, and application data
- Speech recognition and machine-learning processors that perform transcription and related analysis on your behalf
- Payment and subscription partners (such as app store billing) when you purchase a paid plan
- Email or notification providers when you contact us or we respond to feedback
- Professional advisers or authorities when required by law or to protect rights and safety
6a. Processor obligations
Service providers are bound by contractual obligations to use data only for providing services to us and to apply appropriate security measures.
7. International transfers
Your information may be processed in countries other than where you live, including where our servers or processors operate. Where required, we implement appropriate safeguards (such as standard contractual clauses) for cross-border transfers.
8. Retention and deletion
We retain recordings and transcripts for as long as needed to provide the service and as configured in your account settings (including automatic deletion of older items when you reach retention limits).
You can delete individual recordings from the app where the feature is available. Disconnecting BabbleFlow Link stops new paste delivery but does not by itself delete cloud-stored transcripts.
When you delete your account (where supported), we delete or anonymize associated personal data within a reasonable period, except where we must retain certain records for legal, security, or billing purposes.
9. Security
We implement technical and organizational measures designed to protect your information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
10. Your rights
Depending on your location, you may have rights to:
- Access a copy of personal information we hold about you
- Correct inaccurate information
- Delete information or close your account
- Export or receive portable copies of certain data
- Object to or restrict certain processing
- Withdraw consent where processing is consent-based
- Lodge a complaint with a supervisory authority

11. Children's privacy
BabbleFlow is not directed at children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will take appropriate steps to delete it.
12. BabbleFlow Link and device linking
BabbleFlow Link for Windows can receive transcript text you send from the mobile app after you pair devices using a QR code. Basic linking does not require a separate BabbleFlow account on the PC application.
You control when paste is sent from the phone. You can disconnect at any time from the mobile app. Permissions (such as camera for QR scan and Bluetooth for connection on Android) are requested by the operating system and explained in the app.
13. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page with an updated “Last updated” date. Material changes may also be communicated in the app or by email where appropriate.
